YOU
As our Training Administrative Assistant, you will be support the Learning & Organizational Development (L&OD) team to successfully coordinate and execute global employee and leadership development programs. You will be responsible for managing a high volume of tasks to keep the team organized and running smoothly. You will work closely with other members of the L&OD team, as well as with our field HR teams throughout the company.
WHAT YOU’LL BE DOING (% of Time)
Workshop logistics including, but not limited to: (50%)
- Schedule training and manage master training calendar
- Schedule pre and post workshop activities
- Administer training assessments as needed
- Maintain and organize training materials inventory, including tracking stock levels and reordering materials as needed.
- Assemble training and facilitator kits
- Coordinate the shipping and receiving of training kits and other supplies and materials to/from training locations
- Coordinate with on-site Facilities to book and set-up rooms; or book off-site (e.g. hotel) spaces
- Book hotel rooms, managing car rentals, etc.
- Liaise/coordinate with vendors
- Send workshop communications as needed
Workshop registration & tracking: (30%)
- Manage training registrations, rosters, and completions
- Run monthly/quarterly/annual training completion reports
- Create and maintain training dashboards and reports
L&OD team support: (15%)
- Organize team meeting agendas and activities; capture notes/minutes during team meetings; follow-up on action items
- Help create simple PowerPoint templates and presentations (desired skillset, not required)
- Maintain/update internal (L&OD-only) and external (employee-facing) intranet pages
- Coordinate travel, hotels, rental cars, etc.
- Help track budgeting and expenses related to vendors, training supplies, etc.
Project management, when applicable: (5%)
- Support the HR Project Manager with managing timing, communication, implementation, etc. of L&OD programs
DESIRED SKILLS AND EXPERIENCE
If you can do everything listed above, you’ve got what it takes. Perhaps some of the following would be helpful too:
- High School Diploma or equivalent required.
- 3+ years of administrative experience, supporting Learning & Development, Training, HR or similar function preferred.
- Proficient in Microsoft Office Suite (Word, Excel and PowerPoint) required.
- Proficient in Smartsheet preferred.
- Ability to track and manage the team's spending report, assist with annual budget planning, process invoices and ensure accuracy, as well as making sure payments are made on time.
- Obsessive attention to detail and quality: Ability to prioritize and complete multiple tasks without sacrificing quality and accuracy.
- Ability to work with minimal supervision, adapt to change, respond to various shifts in priorities and schedules, and modify methods or strategies to fit changing circumstances.
- Exhibit excellent written and verbal communication skills, including active listening.
- Ability to lift 25 pounds regularly.

This job may require 10% domestic travel.
WORK STATUS & LOCATION
This full-time, non-exempt position is open to remote but must be located within driving distance to Pleasanton CA.
RELOCATION
Relocation is not available for this position.
Pay
$26.78 - $33.46 / hour
